Section A – Warranty Policy Manual
A.5 REIMBURSEMENT POLICIES
A.5.3 Assessed Claims
A.5.3.1 Introduction
The FCSD Warranty Claims Assessing group predefines certain types of repairs for review. The criteria can change from time-to-time to reflect the current business conditions.
A.5.3.2 Supporting Document requests
Assessors frequently request supporting documents to get a better understanding of the work performed by the Technician.
- It is important to provide the documents requested and attach them to the resubmitted claim in OWS. Dealers are reminded to retain copies of any documents sent.
- Documents must be received within Submission Time Limits; failure to do so will result in the claim not being paid.
- If digital images are available and will support the repair performed, Dealers can include these along with any other supporting information.
A.5.3.3 Appealing Assessed Claims
In the event a claim is Denied (paid at zero), Reversed or Adjusted, Dealers have the option to Appeal the Assessors decision. When doing so, the following information should be noted:
- State the facts – Be specific and explain what information you feel may have been overlooked or misunderstood. Re-stating the same information will not produce different results.
- If documents were previously requested and the claim is Adjusted or Denied, the original documents are retained by the assessing team.
- If an Appeal is filed and the documents submitted are different from the originally provided documents, these will be considered “altered documents” and will not justify overturning a previous decision. Remember, the Assessors retain the original documents submitted so altering them will not help your Appeal!
