SECTION 1 – DEALERSHIP ADMINISTRATION

1.3 WARRANTY PARTS RETENTION AND RETURN POLICIES

1.3.1 Part Retention – Parts Status Report (All Dealers)

All Dealers must hold all the following parts until claims are paid in the OWS / SERVIS2 Claiming System and disposition instructions are posted on their Parts Status Report / Outstanding Parts Report.

The Company will only select some parts for immediate return; other parts not selected for immediate return are to be held in an appropriate Dealership storage facility for the retention period (60 days retention period from the date the claim is finalised, i.e., received the reimbursement from the Company).

Parts must be held for the required retention period unless notified otherwise. Dealers will be advised electronically via the Warranty Claiming System of the displaced parts return/scrapping requirements.

At the end of the retention period, parts displaced must be mutilated and scrapped unless recalled by the Company.
NOTE: One-time Use Parts (OTUP), as identified in the Workshop Manual, must be retained until disposition on the OWS Parts Status Report / SERVIS2 Outstanding Parts
IMPORTANT: A Remote Sub-Agent must retain all displaced warranty parts for review/recall by Ford/ Lincoln for a minimum of 3 months from the date of repair.

The nominated part number will appear on the Dealer’s WARPEC outstanding parts screen in the Warranty Claiming System. This is to be monitored on a regular basis.
