Section A – Warranty Policy Manual
A.3 WARRANTY COVERAGES
A.3.18 Over-The-Counter Parts and Accessories Coverage (OTC)
When an Authorized Ford Dealership sells a part to a Wholesaler that in turn sells the parts to a third party (independent repair facilities (IRF) or parts retailers), the Warranty will begin from the sale date on the retail customer’s invoice. Over-The-Counter (OTC) coverage will be 6 months or 6,000 Kilometres (whichever occurs first), except on parts that have a special coverage. The final tax invoice is required for all OTC claims.
A.3.18.1 OTC Parts and Accessories Coverage – Customer Installed:
The original tax invoice/receipt is required for all OTC claims. In cases where the OTC part has failed within the Spare Parts Warranty period, one of the following options can be applied:
- The vehicle has been presented to an Authorized Ford Dealership in the faulty condition and where the Authorized Ford Dealership has inspected the concern and found a warrantable defect that has caused the failure. An OTC Prior Approval Request (PAR) must be obtained prior to the repairs being conducted by the Authorized Ford Dealership.
- For OTC parts (excluding - OTC Batteries*, engine and transmission assemblies): The tax invoice/receipt must be returned to the Authorized Ford Dealership along with the vehicle or failed OTC purchased part and must have a description of the failure experienced with the part itself. Should the part be deemed warrantable, the normal OTC claim procedure applies
- The Authorized Ford Dealership needs to hold a database of all approved spare parts wholesalers/trade suppliers and IRF’s that are accredited to follow this process and needs to be appraised of all requirements for OTC Warranty claims.
- All approved wholesalers/trade suppliers and IRFs should be notified of parts that have a shelf-life or expiry date and should always follow a First In First Out process when retailing parts. Failure to do so may void any Ford Spare Parts Warranty applicable
- It is a requirement for OTC Batteries*, engine or transmission assemblies that fail for the complete vehicle to be returned to the Authorized Ford Dealership for the diagnosis and possible repair to take place should the failure be deemed Warrantable by the Authorized Ford Dealership
- Any repairs made by an Authorized Ford Dealership will be reimbursed for parts and labour at warranty rates.
Covered (OTC Parts and Accessories Coverage – Customer Installed):
- Parts (excluding Batteries* and Powertrain assemblies. Refer to OTC batteries*, engines and transmissions section below) covered where a defect in factory-supplied material or workmanship is present.
- Labour required to replace the defective part where the vehicle has been presented to an Authorized Ford Dealership in the faulty condition (complete with the OTC part fitted) and where the Authorized. Ford Dealer has inspected the concern and deemed there to be a defect in factory-supplied material or workmanship with the OTC part that has caused the failure.
Not Covered (OTC Parts and Accessories Coverage – Customer Installed):
- Labour to remove and replace the defective part or accessory from the vehicle (where it was not presented to an Authorized Ford Dealership for diagnosis and repair)
- Parts and any related damage caused by a Ford component not properly installed by the customer or IRF.
- Any towing charged that may be associated with the OTC parts failure.
A.3.18.2 Dealership actions required for replacement of Batteries*, engine and transmission assemblies sold OTC
- Authorized Ford Dealerships are responsible for determining the defect in factory materials or workmanship that has led to the failure of the assembly or batteries* in question.
- Without physically inspecting the vehicle to determine the warrantable nature of the failure, Authorized Ford Dealerships must not authorize a replacement under Spare parts Warranty. Doing so may place the Authorized Ford Dealership at risk of claim reversal
- For OTC sales, the selling Dealer is responsible for submitting a warranty claim on behalf of the OTC customer
Customer (Retail and/or Independent Installer) actions required for Warranty Reimbursement for Batteries*, engine or transmission assemblies sold OTC
NOTE: Should the customer or IRF elect to perform the repairs themselves, no coverage under the OTC Spare Parts Warranty will apply
NOTE: No labour charges will be reimbursed for OTC Spare Parts Warranty claims unless the repair is completed by an Authorized Ford Dealership.
A.3.18.3 OTC Spare Parts Tax Invoice Requirements
For OTC Spare Parts Warranty claims, the OTC parts tax invoices/receipts must clearly contain the following information
NOTE: All failed parts must be returned to the selling Ford Dealership. Failed parts must be retained in compliance with the Warranty Parts Retention and Return Policies.
